1. Who is responsible for your information

The controller of personal data collected through these websites is ООО «Балчуг Клиник». “Balchug Clinic LLC” is used below only as an English translation for convenience; the registered legal name is the Russian name above.

2. What this policy covers

This Policy covers personal data collected through:
• https://balchugclinic.com;
• https://cn.balchugclinic.com;
• enquiry, callback and appointment forms and pop-ups on those websites; and
• the clinic’s follow-up communication about an enquiry made through those websites.

This Policy does not cover the IVF Examination Checklist mobile application. The separate policy at https://balchugclinic.com/privacy-app applies only to that application.

If you use a link to WhatsApp, Telegram, WeChat, a map, a social network or another external service, that provider also processes information under its own privacy terms.

3. Information we collect

Depending on the form or contact method you choose, we may collect:
• your name;
• your telephone number;
• your email address;
• your comment, message or other information you choose to provide;
• records of our response and follow-up communication; and
• technical data generated when the website is requested or used, such as IP address, browser or device information, page address, referring page, date and time, and cookie or similar identifiers.

Some forms ask only for a telephone number, or for a name and telephone number. Please provide another person’s information only if you are legally authorised to do so.

4. How and why we use information

We use personal data only as needed to:
• receive and answer your enquiry;
• arrange a requested call, consultation or appointment;
• provide information you ask for about the clinic and its services;
• continue communication about your request;
• operate, secure, troubleshoot and understand use of the websites;
• prevent misuse; and
• meet legal and regulatory duties.

We do not use an ordinary website enquiry to make a solely automated decision that has a legal or similarly significant effect on you. An enquiry is not treated as consent to marketing. If marketing communication is ever offered, any consent required by law will be requested separately.

5. Legal grounds

The legal ground depends on the request and the law that applies. It may include your consent; steps you ask us to take before entering into a contract; performance of a contract with you; compliance with a legal duty; or a legitimate interest where that ground is available and does not override your rights.

Health data and other legally protected sensitive data require an additional lawful condition, such as explicit consent or a basis provided by applicable healthcare law. Where local law requires a separate consent or notice, it will be provided before that processing.

6. Important warning about health and identity documents

Do not put medical records, test results, passport copies or a detailed medical history in an ordinary website form. These forms are intended for an initial enquiry, not for exchanging medical documents.

If you voluntarily include limited health information in a comment, access will be restricted and the information will be used only as permitted by applicable law and only to understand and route your enquiry. Information that is not needed may be deleted.

7. Tilda, cookies and website statistics

The websites use Tilda as the website platform and form processor. Tilda receives or routes information submitted through its forms on the clinic’s behalf. Tilda’s privacy information and Data Processing Agreement are available at https://tilda.cc/privacy/ and https://tilda.cc/dpa/.

Both projects currently use Tilda’s standard built-in statistics mode. According to Tilda’s Data Processing Agreement, this may process referring sources, IP address and approximate location derived from IP, previous page information, and the statistics identifiers tildasid, tildauid and TILDAUTM. Tilda may also use essential security identifiers such as __ddgN, _ddgid and __ddgmark. These technologies help deliver and protect the site and measure page use.

No Google Analytics, Google Tag Manager, Yandex Metrica, Meta Pixel or VK advertising pixel is configured in either Tilda project as of the last-updated date. You can delete or block cookies through your browser settings, although blocking essential technologies may affect site operation.

8. Who may receive information

Access may be given only where needed to:
• authorised Balchug Clinic personnel;
• Tilda as the website, statistics and form-processing platform;
• the clinic communication and email systems used to receive and manage website enquiries;
• Tilda’s infrastructure processors identified in its current Data Processing Agreement;
• professional advisers subject to confidentiality duties; and
• public authorities where disclosure is legally required.

Website form submissions are routed through Tilda’s configured form services to the clinic’s contact systems. The published privacy contact is ivf@balchugclinic.ru. The clinic reviews these integrations when this Policy is updated.

9. Third-party messengers and external links

The websites contain links to WhatsApp, Telegram and WeChat. If you choose one of them, the provider will receive and process your account details, message content and technical information under its own privacy notice. The provider may operate outside your country.

Do not send medical records or identity documents through an external messenger unless the clinic has specifically confirmed that the channel is appropriate for the document. The clinic does not control the privacy or security practices of external websites, maps, social networks or messengers.

10. Where information is processed and international transfers

Balchug Clinic is located in the Russian Federation, so an enquiry sent to the clinic will be received and used in Russia. Tilda and its infrastructure providers may also process information in other countries. Tilda’s current Data Processing Agreement identifies processing or transfers involving the European Union and the United States and describes the contractual safeguards it uses.

Where applicable law restricts an international transfer, the clinic and its processors will use the mechanism and safeguards required by that law.

11. How long we keep information

Copies of website form submissions are configured to remain in the Tilda account for 30 days. Tilda also routes the submission through the form services configured by the clinic.

Email correspondence and related records are retained only for as long as reasonably needed to answer or manage the enquiry, provide a requested service, meet applicable record-keeping duties, establish or defend legal claims, and demonstrate compliance. When information is no longer needed, it is deleted or anonymised where the law permits. Technical logs, security records and backups may follow the retention periods of the relevant provider.

12. Security

We use reasonable organisational and technical measures intended to protect personal data and limit access to people who need it. Tilda states that it uses access controls, encryption, backups and other security measures described in its Data Processing Agreement. No internet transmission is completely secure. Ordinary forms and unapproved messengers should therefore not be used for sensitive documents.

13. Your rights and choices

Subject to the law that applies to your situation, you may ask us to explain whether and how we process your personal data; give you access to it; correct inaccurate or incomplete data; delete data or restrict or stop certain processing; withdraw consent for future processing; object to direct marketing or other processing where an objection right applies; and provide a portable copy where that right applies.

Send a request to ivf@balchugclinic.ru. Please describe your request and provide enough information for us to identify the relevant record. We may ask for proportionate identity verification before disclosing or changing personal data.

You may also complain to a competent data-protection authority or use another remedy available under applicable law.

14. Minors and information about other people

The websites are intended for adults seeking information about clinic services. Do not submit a minor’s or another person’s information unless you have lawful authority to do so. If an enquiry concerns a minor, contact the clinic without including sensitive details so that an appropriate process can be explained.

15. Changes to this Policy

We may update this Policy if the websites, providers, clinic processes or legal requirements change. The current version and its last-updated date will be published on this page.

The English and Simplified Chinese versions are intended to describe the same website processing. The Russian legal name and official registration details above identify the controller in every version.
16. VEHICLE ACCESS REQUESTS
If you ask us to arrange taxi access to the business centre through the Contacts page, we process the surname, car brand and licence plate number you submit solely to arrange passenger pick-up or drop-off and to respond to your request.
